Privacy Policy

This policy explains NexTrack's narrow capture model, strict clipboard limits, workspace visibility rules, disclosure practices, retention approach, and privacy-rights process.

1. Scope of this policy

This Privacy Policy explains how Avexa Technologies Inc. collects, uses, discloses, retains, and protects information when individuals, employees, contractors, employer administrators, and invited workspace members use Avexa NexTrack, including the website, dashboard, APIs, and browser extension.

Avexa NexTrack is designed for job-search and recruiting-workflow tracking only. Its operating boundary is intentionally narrow: supported job, career, application, and confirmation contexts or specifically approved domains. It is not designed or offered as general browsing surveillance software.

2. Our role and workspace context

When you use Avexa NexTrack directly as an individual account holder, Avexa Technologies Inc. generally acts as the business responsible for the service-level privacy practices described here.

When Avexa NexTrack is deployed through an employer workspace, the employer or workspace owner may determine who is invited, what permissions exist, what retention settings apply, and what visibility is granted. In those cases, the employer may act as the controller, business, or decision-maker for employer-managed data, and Avexa Technologies Inc. may act as a service provider or processor to the extent applicable law recognizes those roles.

If you are an employee, contractor, or invited member using a workspace provisioned by an employer, privacy and access questions about employer-managed records may need to be directed to that employer in addition to us.

3. Categories of information we may collect

Account and workspace data may include your name, display name, email address, password hash, account type, invitation status, organization membership, role, permissions, and extension connection state.

Supported activity data may include page URLs, page titles, job titles, companies, locations, source-site names, requisition IDs, job type, salary text, structured summaries, capture status, and event timestamps relating to supported job-related activity.

Device, session, and connection data may include browser-connection records, session metadata, IP-derived security logs, extension version information, timestamps, and operational diagnostics reasonably necessary to operate, secure, and troubleshoot the service.

Communications data may include records you send to us for support, legal, trust and safety, or business-contact purposes.

4. Clipboard and sensitive-data limits

On supported pages, text the user copies can populate the floating widget locally in the current page session. NexTrack does not perform background clipboard surveillance and does not ask the website for clipboard permission.

Copied text is not sent to NexTrack merely because it appears in the widget. Storage occurs only if the user explicitly uses the widget save flow.

Only job-related clipboard details are eligible for storage. NexTrack is designed to reject, block, or strip personal information, payment data, credentials, authentication secrets, and similar sensitive or secure information when such content is detected in clipboard submissions.

If a user marks a submission as personal notes, the system is intended to keep those notes local to the user's browser interaction and not send them to NexTrack for storage or use in shared job features.

Users and workspace administrators must not submit Social Security numbers, government identifiers, payment-card data, bank-account data, health information, passwords, API keys, or other highly sensitive data into NexTrack unless expressly required by law and separately authorized by us in writing.

5. Information we do not intentionally collect or want

NexTrack is not designed to collect unrelated browsing activity outside supported job, career, application, and confirmation contexts.

NexTrack does not intentionally capture background clipboard history, keystrokes, hidden screen recordings, or page activity from unrelated websites outside the configured scope model.

NexTrack does not intentionally retain private notes marked as personal, and it is not offered as a general repository for resumes, identity documents, payment details, financial account information, medical information, or other regulated or highly sensitive records except where an administrator deliberately enables and manages a candidate job-search profile for that purpose.

Employees and contractors do not see each other's data by default. Any broader visibility should be governed by explicit workspace permissions, employer policy, and applicable law.

6. How we use information

We use information to operate Avexa NexTrack, authenticate users, connect and secure the extension, classify supported job-related captures, render dashboards, enforce permissions, apply retention rules, detect abuse, respond to support requests, and send account-related notices such as verification, invitation, and password-reset emails.

Only normalized job metadata from accepted captures may be used to populate shared job-matching or pooled job features such as the centralized Jobs Portal. Raw blocked clipboard content and personal notes are not intended to enter that pool.

We may use operational logs, aggregate analytics, and security telemetry to maintain service reliability, detect misuse, investigate incidents, and improve product performance.

7. How we disclose information

We may disclose information to service providers and contractors that help us host the service, store data, deliver transactional communications, monitor performance, maintain security, and operate the platform under appropriate contractual restrictions.

When NexTrack is used inside an employer workspace, information intentionally saved in that workspace may be visible to the employer, its authorized administrators, and other users with role-based access granted by that workspace.

We may disclose information where reasonably necessary to comply with law, enforce our terms, investigate misuse, protect rights or safety, respond to lawful requests, or participate in a corporate transaction such as a merger, acquisition, financing, or asset transfer.

We do not sell personal information or share personal information for cross-context behavioral advertising through NexTrack's core job-tracking functionality as described on these pages.

8. Human review, support access, and data minimization

We follow a data-minimization approach and aim to collect, retain, and expose only the information reasonably needed for the service as disclosed to users. Where content is blocked, redacted, or outside permitted scope, we may decline to store it.

We do not authorize human review of clipboard-derived content or user activity except where reasonably necessary for support requested by the user, security review, abuse prevention, debugging, legal compliance, or as otherwise permitted by law and disclosed in context.

Users and organizations are responsible for minimizing what they submit and for using the service in a way consistent with these restrictions.

9. Retention and deletion

Basic member mode is intentionally limited. By default, employees and contractors typically see only a recent data window, commonly the last 24 hours, unless a permitted retention, entitlement, or workspace setting expands access.

Organizations may configure retention-related controls within the product. Authorized users may also be able to delete records, revoke extension connections, or pause capture depending on role and policy.

We may retain operational logs, security records, legal notices, transaction records, and backup copies for reasonable periods where necessary to operate the service, protect the platform, resolve disputes, enforce agreements, or comply with law.

10. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information within our systems, including access controls, authenticated access, password hashing, secure session handling, and environment-based secret management.

No service can guarantee absolute security. Users and organizations remain responsible for safeguarding credentials, managing administrator access carefully, and notifying us promptly if they suspect compromise or misuse.

11. Privacy rights and requests

Depending on where you live and the role we play for the relevant data, you may have rights under applicable law to request access to, correction of, deletion of, or information about personal information we hold about you. You may also have rights relating to nondiscrimination for exercising privacy rights.

If the relevant data is controlled by an employer workspace or organization, we may direct you to that organization because it may control the relevant records, permissions, and retention choices.

Requests relating to data we control may be submitted to support@avexatech.com. We may take reasonable steps to verify identity and authority before acting on a request, and we may deny or limit requests where permitted by law.

To the extent applicable law requires it, we aim to honor data-minimization, purpose-limitation, and retention-limitation principles consistent with the disclosures made to users.

12. Children and age restrictions

Avexa NexTrack is not directed to children, and it is not intended for use by anyone under 18 years of age. We do not knowingly solicit or intend to collect personal information from children in connection with this service.

If you believe a minor has provided information to us in violation of these restrictions, contact us and we will take commercially reasonable steps to review and address the report.

13. Changes to this policy and contact

We may update this Privacy Policy from time to time as the product, legal requirements, or service model evolves. Material changes will be reflected by updating the effective date and, where we believe appropriate, providing additional notice.
